Choose referees who can describe your work with specific evidence. A famous name is less useful if the person barely knows you.
Ask with enough context
Tell the referee what you are applying for, why it fits your plans and when the letter is due. Ask whether they feel able to provide a supportive reference. Give them space to decline so you have time to find another suitable person.
Send a useful briefing
Provide your CV, the official opportunity link, the selection criteria and a short reminder of work you completed with them. Include the submission method and exact deadline. Do not write a letter for someone to sign unless the provider expressly permits that process; the assessment must remain the referee’s own.
Track the separate deadline
The applicant deadline and reference deadline may differ. A university may send the referee an automated link after you enter their details. Confirm the email address and check whether the request arrived. Remind politely before the deadline, following the provider’s guidance.
Handle difficult circumstances privately
If contacting a former institution could put someone at risk, ask the admissions team about acceptable alternatives. Explain the obstacle, not every detail of your circumstances. Keep a record of any agreed exception.
