Build a secure document folder, but send only what the receiving institution requests.

Keep originals and working copies separate

Create clearly named folders for originals, translations and application-specific files. Keep a record of document titles, issuing institutions and dates. A scan, a certified copy, an apostille and an academic recognition statement perform different functions; one does not automatically replace another.

Ask before paying for certification

Check accepted languages and who may translate or certify documents. Requirements can depend on the country where a translation is produced. For example, uni-assist has specific instructions for translations made in Belarus. Do not generalise these instructions to every European university.

Document incomplete education accurately

If you left a programme before graduation, describe it as incomplete and collect the available transcript or study record. Ask whether the institution can assess completed courses or accept alternative evidence. Do not describe an unfinished degree as awarded.

Share proportionately

An admissions portal may need identification documents; an initial question to an adviser usually does not. Avoid attaching a passport or evidence of persecution to a general contact form. Ask for a suitable private route when sensitive material is needed.
